CIRSMA™ Screens

Below are screens for various modules for the CIRSMA™ system.

Overview of System

Overview of CIRSMA The CIRSMA™ application is easy to use with the usual features you would expect in a Windows application. All functions of the application are accessible through menu commands, hot keys, quick access tool bar(s) and by "right clicking" on the record in the explorer window. Navigating between screens is quick and easy by using the screen tabs or by simply double clicking on the record in the explorer window. CIRSMA™ provides full online help for all functions in the application with step by step instructions.

Resource Administrator Screen

Resource Administrator Screen The Resource Administrator screen is used to store information related to the organization that manages systems, processes, and/or people. Depending on your requirements the Resource Administrator screen can be used to store information in the following ways:

  • Consultants who create risk assessments for a customers can enter their information.
  • Companies which are using CIRSMA™ to analyze equipment internally, can use the Resource Administrator screen organize their equipment by plant location.
  • Companies which are using CIRSMA™ to manage their training program can use the Resource Administrator screen organize their personnel by plant, department, or location.
  • Companies which manufacture equipment can use the Resource Administrator screen to store information regarding the user of the equipment.

System Resources Screen

System Resources Screen The System Resource screen is used to manage information which is related to systems or processes that will be assessed. Training, qualifications, and personnel, can be assigned in this screen. This information is used when generating risk assessment, human resource, system resource, and training reports. Each System Resource is linked to a Resource Administrator allowing you to ensure that systems, processes, and equipment, are being properly maintained. Pictures, manufacturer’s information, and other information regarding the System Resource can also be entered in this screen.

Human Resources Screen

Human Resources Screen All people who interact with systems or processes are considered to be Human Resources. All Human resources require some type of management or coordination. The CIRSMA™ system refers to management and coordination activities as "Administration". The Human Resource screen is used to link human resources to Human Resource Administrators. The Human Resource screen is used to manage the qualification and training of people who will interact with system resources. Once a human resource record has been added, the qualifications and training can be assigned. This information is used by the CIRSMA™ system by comparing the required qualifications and training in the System Resource screen, to the qualifications and training acquired by the human resources. Third party service and maintenance people are examples of human resources that may not be directly employed by the facility. Coordination of these types of workers is still required. In this case an additional Human Resource Administrator may be required. In this scenario, even though an internal Human Resource Administrator does not directly control the activities of the service and maintenance people, the training, instruction, policies, and PPE, which are requirements of the facility, still apply. These requirements must be clearly communicated to the Human Resource Administrator of the third party service and maintenance people.

Risk Assessment Screen

Risk Assessment Screen The Risk Assessment screen is used to manage the risk assessment process. This screen is used to create risk assessments, manage changes to assessments, create hazard zone evaluations, link documents to assessments, and create tasks related to the risk assessment process. Each risk assessment is referenced to a System Resource and a Resource Administrator. The hazard zones for each assessment are version controlled which help to ensure that risk assessment documents are properly managed. When the system resources, or hazard zones, change such that the safety of personnel is affected, a new version can be easily created. The changes can be entered into this new version providing a full history of the changes to system resources and/or hazard zones.

Risk Estimation Screen

Risk Estimation Screen The Risk Estimation tab is used during the entry of Hazard Zones into a risk assessment document. The entries in this screen are based on the elements of risk as defined in the international standard ISO-14121 (1999) Predefined selections are available to be selected by the user. CIRSMA™ then uses the input data to automatically assess and determine the level of risk to which personnel could be exposed, without the use of protective measures. This information is also used by the CIRSMA™ risk management system during the risk evaluation process.

Risk Reduction Screen

Risk Reduction Screen The Risk Reduction tab is used during the entry of Hazard Zones into the risk assessment document. The user can select from a number of standards which have clauses specifically defining safety control system performance. Predefined selections are available to be selected by the user. CIRSMA™ then uses the input data to automatically assess and determine the level of risk to which personnel could be exposed, with the use of protective measures. This information should be included in the “Information for Use” provided by the manufacturer. This will allow the user to ensure that their personnel are properly trained and instructed regarding the intended use of the machine.

Risk Reduction Screen (Characteristics of Facility)

Risk Reduction Screen (Characteristics of Facility) The Characteristics of Facility tab is used during the entry of Hazard Zones into the risk assessment document. The user can select from four risk reduction elements all of which should be part of the risk reduction strategy associated with the hazard zone. The elements of risk reduction in this screen should be based on the recommendations of the manufacturer, the content of the applicable standards, and the employer’s regulatory obligation to protect workers from harm. Predefined selections are available to be selected by the user. CIRSMA™ then uses the input data, including the use of protective measures that have been provided by the manufacturer, to automatically assess and determine the level of risk to which personnel could be exposed.

Incident Screen

Incident Screen The incident screen is used to track safety related incidents and reference them to system resources or risk assessment documents. Incidents could be near misses, injury occurrences, equipment malfunctions, safety procedure infractions, or any other type of event that is related to the performance or use of system resources.

Task Hazard Screen

Task Hazard Screen Where hazards associated with tasks cannot practicably be eliminated or controlled through the use of engineered protective measures, personal protective equipment (PPE) must be used. The Task Hazard screen is used to evaluate these hazards and determine the appropriate PPE which will be used as a last resort to protect personnel from harm. CIRSMA’s Task Hazard interface provides predefined selections which are grouped in categories based on the area of the body under consideration, the type(s) of injuries being considered, and the cause of the potential hazards. This data structure allows the user to quickly create documentation which can then be provided to the personnel who need the PPE. Task Hazard documents can be linked to individual Hazard Zones during the risk assessment process. The pre-define selections are fully configurable by the user and can then be stored as templates in the system which allow them to be easily re-used.

Training Screen

Training Screen The Training screen is used to create training courses that are required prior to allowing personnel to interact with system resources. Once training courses have been created, human resources can be assigned to the courses based on the work that they will perform. The CIRSMA system can be used not only to assign the training that is needed, but also to track the successful completion of training courses, and to link training courses to systems or processes. If training courses and human resources are linked to system resources, training and qualifications of the assigned human resources are automatically evaluated by CIRSMA™. The CIRSMA system provides feedback where training and/or qualifications are not sufficient.

Reports Screen

Reports Screen CIRSMA™ generates reports based on the data input of the user, selections made during the assessment process, or criteria defined in the reporting screen. Reports can include detailed or summary information based on your selections in the report options screen. When the reporting tool bar is used to generate reports, the report will contain the information for the feature that is currently in use. Reports can also include System Resource and Hazard Zone pictures. Hyperlinks to other reports in the CIRSMA™ safety system are shown in blue text. By clicking on the blue text the CIRSMA™ safety system will generate the related report. This feature can be used to navigate through the information stored in the safety management system. Example: A user can navigate from the risk assessment report to a referenced task hazard report by clicking on the hyperlink in the report.

Custom Reports Screen

Custom Reports Screen Many different types of reports can be generated by the CIRSMA™ system. The report toolbar, when opened, appears on the left-hand side of the main screen. This toolbar is used to configure and generate various reports within the system. Reports can contain various amounts of information depending on the selections made in the report setup screen. The report setup button is used to configure the appearance of the summary and detailed reports. The report can be directed to the screen, printer or outputted to a PDF or TIFF file.

Document Management Screen

Document Management Screen In addition to the version control that is included in the risk assessment module, the CIRSMA™ system has the ability to manage documentation. The "Linked Document" feature allows the user to upload documents into the CIRSMA™ archive. Documents can be linked in most of the CIRSMA™ screens. Once a document has been linked to any screen, the same document cannot be uploaded in the same screen unless the Linked Document Name is unique, or the Linked Document version is changed in the Linked Document screen. This feature can be used to store any type of document. Engineering reports, verification and validation documents, training program files, pre-start reports, accident investigations, etc. can be stored in the CIRSMA™ archive for future reference.

Task Management Screen

Document Management Screen As with many business processes, work may need to be assigned in order to accomplish overall objectives. The CIRSMA™ risk assessment system helps to manage your health and safety program by facilitating the assignment and tracking of tasks. Tasks can be assigned in many of the CIRSMA screens. Task information such as the creation date, completion date, priority, completion status, and the responsible party, can be entered in the Task screen. Task information can be exchanged automatically using you default e-mail program. This feature not only helps to manage your resources but can also help to ensure that safety related projects are completed in a timely manner.
